Why Your Supplier Profile is Inactive on a Supplier List

When registering on a Preferred Supplier List, your profile's status determines if Buyers can view and select you for requests. This article explains why your profile might be Inactive and how to check its status. 

Prerequisites

  • You must be registered on at least one Supplier List.
  • Your role must be a Supplier.

Key Ideas

The List Owner manages and reviews your registration on a Preferred Supplier List. Once you meet all requirements, they approve and activate your profile, making you visible to Buyers.

The List Owner can toggle your profile on the list between 'active' and 'inactive'.

Reasons for an Inactive Profile

If your registration is Inactive, you will not be able to respond to Requests sent to that list. The inactivity is typically due to one of the following reasons:

  • Outstanding Requirements: You may have requirements to submit Compliances, Qualifications, or Rate Cards for the Supplier List.
  • Pending Approval: If you have submitted all requirements, they might still be pending approval by the List Owner. Once the List Owner reviews and approves them, they will likely activate your profile.
  • List is Inactive: The List Owner may choose to set the entire list to Inactive, which makes all Supplier profiles on the list inactive. This might happen because:
    • It is a new list and the List Owner is setting up requirements.
    • The list has expired or is no longer in use.

Results / Validation

You can check your status on a Supplier List from the Supplier Lists you manage or the Lists you're on pages.

Against each registered Supplier List, you will see one of two icons:

  • Blue question mark icon: You are active on the list.
  • Red question mark icon: You are not approved or inactive on the list.

If you hover over the red question mark icon, a pop-up message will appear stating the reason for the inactive status.

Troubleshooting

  1. Check for Outstanding Requirements: Review the list's requirements for Compliances, Qualifications, or Rate Cards.
  2. Confirm Approval Status: Check if your submitted requirements are still pending approval.
  3. Contact the List Owner: They have the authority to activate your profile or the entire list.
