When a Supplier List requires a Rate Card, the Vendor Admin must provide their organisation's rates (prices) for Buyers on that list. You should complete a Rate Card when it has been added as a requirement by the List Owner.
Prerequisites
- Role: You must be the Vendor Admin for your organisation's list. Colleagues will need to contact the Vendor Admin for updates.
Steps
- Locate the required Rate Card to start the process:
- Look for the Critical Task named Update your Rate Cards on your homepage's left side and click it. OR
- Navigate to the Admin Tools menu and select the Supplier lists you manage page.
- Look for the Critical Task named Update your Rate Cards on your homepage's left side and click it. OR
- On the Supplier lists you manage page, click the red Update button under the 'Required Rate Cards' column.
- Click the Fill this Rate Card button next to the respective Rate Card you want to complete or update. You might see multiple cards, depending on the buying organisation's requirements.
- Carefully read the Description/Instructions provided by the List Owner at the top of the page to understand the requirements.
- Set the effective dates for your rates in the Effective dates section.
- Click in the date field to open a pop-up calendar and select your desired starting date.
- The minimum effective period is 14 days.
- Note: The List Owner may lock the 'From' and/or 'To' date fields, meaning you won't be able to change them.
- Click in the date field to open a pop-up calendar and select your desired starting date.
- Click the Save these dates button on the right.
- In the Enter Rate Card data field, complete the required information for each item. Items that need completion will show the word incomplete next to them.
- To add information for an item, click the blue pen and paper icon next to it. This expands the box where you'll enter your rates based on what the buying organisation requested.
- Save your progress:
- Click the Save button to save and remain on the current item. OR
- Click the Save and complete another button to save your progress and move to the next item. OR
- Click the Cancel button on the bottom right to stop entering information.
- Once you've completed all required items, the word complete will appear next to them, and (100% complete!) will appear in bold green lettering at the top of the Rate Card.

Optional: To add new Rate Card items, click the Add new item button in the bottom right. You'll need to set a name, an optional description, and rates for the requirements.
- Review your completed Rate Card by clicking the blue Preview your Rate Card button in the top right of the Enter Rate Card data field.
- Click the Submit Rate Card for approval button to send it to the List Owner for review.
Results/Validation
After submitting, a new page will confirm that your submission is pending approval. You will receive an email notification once your submission is approved or declined. You can also select Edit Rate Card or Preview rate card from this page.
