Adding and Removing Colleagues

This article provides Vendor Admins with a step-by-step guide on how to invite a new colleague to a Supplier List they manage, or remove an existing colleague. 
Inviting colleagues allows colleague to also receive invitations to Requests or Tenders and submit a response from their own account, keeping all linked users informed of activity on the request.

Prerequisites

You must be registered as a Vendor Admin on the specific Supplier List you want to manage colleagues for.

Steps

Follow these steps to invite a new colleague or remove an existing colleague:

  1. Select either the Supplier lists you manage or Edit supplier list colleagues option.
    • In the top menu bar or on the homepage, you'll find this under the Admin Tools heading.

       
  2. On the resulting page, locate the list you want to manage.
  3. Select Manage under the Your Colleagues column, to the right of the list's name.
  4. To invite a new colleague:
    • Fill out their details (name, email) in the fields on the right side of the page.
    • Click the Invite button .
  5. To remove an existing colleague:
    • Look on the left side of the page to see the people already registered as a colleague on this list.
    • Click the remove button next to their name .

Results/Validation

  • When a new colleague is invited, they will receive an invitation email. They must click a link in the email to either set up their account or confirm their registration.
  • When a colleague accepts an invitation, they are linked to the Vendor Admin's account for that list. When any linked user (Vendor Admin or Colleague) flags their intention to respond, creates a draft, or sends a response to a Request or Tender, the activity will be listed in the other user's accounts.
  • When a colleague is removed, they will no longer be linked to the Supplier List.

Adding an Existing Colleague to another List

Once a person has accepted an invitation to register as a colleague on any of your lists, you can add them to other lists you manage without sending another invitation.

  1. Go to the Manage colleagues page for the new list (using the steps above).
  2. On the right side of the page, underneath the fields used to invite a new colleague, you will see a list of colleagues registered on your other lists.
  3. Click the add now button next to the relevant colleague to immediately add them to this list.

Resending an invitation to a Colleague

If an invitation email has been lost or not received, you can resend it.

  1. Go to the Manage colleagues page for the list (using the steps above).
  2. On the left pane of the page, under the Pending colleagues list, you will find the pending invitation.
    • You can click the un-invite button to revoke the invitation, if necessary.
  3. To resend the invitation, use the fields on the right side of the page to invite the person again (see step 4 in the main section).

Finding the Vendor Admin's Contact Details (For Colleagues)

If you are registered only as a Colleague (and do not manage any lists yourself), you won't have the Admin Tools menu. You can still find your Vendor Admin's details:

  1. Select the Lists you're on option under the Supplier Lists menu.
  2. View the list of all lists you are registered on as a Colleague.
  3. The Vendor Administrator will be detailed under the Vendor Admin column on the far right.
  4. Hover over the Vendor Admin's name to view their contact details in a pop-up bubble.
