As a Supplier, use this guide to download and open the Post-Close Communications (PCC) report. This report is an offline HTML file that contains a full record of all messages and documents exchanged with the Buyer after a Request or Tender has closed.
Prerequisites
You must be a Supplier who has responded to a Request or Tender that has since closed.
Access the Report
You can access the PCC report using one of two methods: as part of the full Request download, or as a standalone file.
Method 1: Download the Report with the Full Request Package
- Click on the Download everything to do with this Request button next to the Request.
- Open the downloaded zip file.
- Access the PostCloseComms folder within the zip file.
- Open the PostCloseCommunications.html file. This is the PCC report.
Method 2: Download the Report Individually
- Click on the Attachments to this Request button next to the relevant Request.
- In the pop-up window, navigate to the blue Post Close Communications link at the bottom of the list of attachments.
- Click the link to download a zip folder to your computer.
- Unzip the downloaded folder to access the contents.
- Open the PostCloseCommunications.html file.
Note: You must unzip the downloaded folder to access the documents inside.
Results and Validation
The PostCloseCommunications.html file is a locally accessed HTML file that will open in an internet browser (e.g., Google Chrome, Microsoft Edge) but does not require an internet connection. You can review the communications and documents using the report's interface.
Overview of the Report
The report includes all communications between the Buyer and the Supplier, including messages and attachments.
- The Request name and VP reference number are visible in the top left corner.
- The Group messages by drop-down menu on the left allows you to group messages by topic or response.
- Messages are listed in the white space below the grouping menu. Messages with attachments are marked with a paperclip icon to the right of the title.
- When a message is selected, the full correspondence and timestamp for each message are displayed on the right.
- Any attached documents are listed at the bottom right side of the page, also with a corresponding timestamp.
- All documents are downloaded into an Attachments folder that sits beside the PostCloseCommunications.html file.
